Job Objectives
- Provide efficient secretarial support to the General Manager and ensure smooth operation in administrative work flow and management reporting in such a way that it enables the General Manager to perform his own responsibilities in an effective and efficient way.
- Assist the General Manager on any projects as directed.
Job Description:
- Work closely with across departments to achieve company goals and objectives
- Interact with both internal and external executives and assistants to communicate and coordinate a variety of complex executive activities and meeting.
- Assist GM with preparation of presentation and meeting materials.
- Plan and organize meetings and take down minutes in order to ensure all conditions for a timely, effective and efficient meeting and follow up.
- Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mails as necessary
- Maintains highly confidential files and records
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
- Receive and interact with global and external visitors
- Support team building activities and customer events as required
- Be responsible for heavy calendars management; makes appointments and arranges meetings on regular or unscheduled basis; issue meeting notices and arrangements to all relevant parties;
- Organize the GM's travel and hotel reservations for domestic and international travels; check, prepare and apply for visas and so on
- Answer and manager GM’s incoming calls
- Other tasks assigned by General Manager
Job Requirement
- Bachelor degree or above, Major in English preferred
- Work under multinational working environment is must
- Expert level written and verbal communication skill
- Ability to interact with staff at all levels in an international work environment, sometimes under pressure.
- Remain flexible, proactive and resourceful with a high level of professionalism and confidentiality is crucial to this role.
- Problem analysis and problem solving skills.
- Attention to details and accuracy.
- Proficient computer skills and in-depth knowledge of relevant software such as MS office, including Word. Excel. PowerPoint.
