Position Summary
Intern in this role will be assisting department head with various matters relating to administrative support in chancellor's’ office.
Responsibilities
- Administrative assistance: filing, photocopying, faxing, answering calls, receiving and greeting office visitors. Tidy newspapers/magazines. Process travel & expense claims. Order supplies, office equipment maintenance (including stationary, pantry supplies), settle monthly bills. Support in travel arrangement (air tickets, hotels, ground transportation, etc.) Logistics support for meetings (reserve meeting room, set up meeting venue, prepare meeting materials and order refreshments, etc.)
- Event supporting: Assist in special projects such as event planning (provide logistics support, make reservation on venues, Liaise with related departments and vendors).
Qualification
Required Education
- Undergraduate; master preferred.
Required Experience
- Related intern experience preferred.
Required Knowledge, Skills, and Abilities
- Proficient in both written and spoken English and Mandarin;
- Good interpersonal and communication skills to work in an international and cross-cultural environment;
- Good problem solving skills
- Professional, pleasant, positive attitude
- Patient, helpful, flexible and adaptable
- Can be able to use Photoshop or other tools to do simple design work
