Position Summary
The Faculty Services Intern assists Manager of Faculty Services and other team members in daily operation of the unit, including but not limited to faculty support, office administration, event organization, etc. A qualified candidate must have strong sense of responsibilities and multi-tasking skills to fulfill the requests with high quality. The intern is expected to work at least 3 full days a week.
Responsibilities
Support logistics for faculty/academic program-sponsored events as needed (this may include space booking, catering arrangements, onsite services, etc.)Support logistics for faculty recruitment visits and on/off-boarding as neededPrepare finance payment reports for faculty and their visiting academics and deal with complicated casesMake travel arrangements for faculty and their visiting academics and deal with emergencies or last-minute schedule changesPurchase supplies for Faculty Services Center and faculty offices as neededLiaise with other operational departments (Finance/HR/Facilities/IT/Public Safety) and academic administration units to complete interdepartmental projects when neededOther individual support responsibilities or team projects as assigned by Manager
Qualifications
Required Education
Current student in undergraduate school or master’s programRequired Knowledge, Skills, and Abilities
Administrative experience in international environment highly preferredRequired Knowledge, Skills, and AbilitiesEnthusiasm in administrative work in a bilingual, multi-cultural environmentGood attention to detailsGood problem-solving and interpersonal communications skillsGood team-working spiritAbility to maintain confidentiality when working with sensitive personal informationProficiency in Microsoft Applications, Google Docs/AppsFluency in spoken/written English & Mandarin
