Position Summary
Interns in this role will be assisting with various matters relating to the planning, promotion,production of university events and administrative support of External and Academic Events program. Working with the Director and E&AE Coordinating staff, the intern interfaces with special guests, makes travel arrangements and provides hands-on support to event set-up (including coordinating with caterers) and recording of events.
实习生将会协助筹备和举办上海纽约大学各种学术活动,主要是差旅安排、嘉宾接待和活动现场支持。
Responsibilities
Events Support 活动支持:
· Preparation before events (making travel arrangements for guests, translation of events blurbs, posting hard copies and archiving electronic copies of events posters, liaising with other departments and vendors, drafting and distributing guest schedules, incl. contact sheets and maps)
· 活动前期准备(帮助活动嘉宾预订机票、酒店、车辆接送,翻译活动简介,张贴活动海报,与其它相关部门接洽,准备嘉宾行程安排表等)
· Production support (keeping track of number of attendants, Q&A/discussion support)
· 活动中支持 (记录活动参加人数,问答环节递话筒)
· Closeout of events (accounting, attendance tracking, materials return, inventory)
· 活动结束后的收尾工作(报销付款等基本财务支持,活动影像归档,整理活动表格,简单的数据分析等)
Administrative assistance 行政支持
· Printing, photocopying, faxing, etc.
· Ordering and maintaining office supplies
Qualification
Required Education 教育背景
College seniors or Students enrolled in master’s program or above
大四或硕士在读
Required Experience
Experience working in a cross-cultural environment preferred
有多元文化环境工作经验者为佳
Experience organizing or supporting events preferred
有活动支持经验者为佳
Hospitality experience preferred
Required Knowledge, Skills, and Abilities 技能
· Proficient in both written and spoken English and Mandarin
· 流利的中英文口头和书面表达
· Good interpersonal and communication skills
