Primary Responsibilities
• Be responsible of conduct reporting formalities for all newly hired staff, including but not limited to collecting documents (application form, on-board Notice and health check certificate, CV, signed Job Description, copy of ID Card, educational certificate, signed employment contract, signed Employee Check-in List, etc), informing relevant departments (IT, Finance, ect) for preparation of necessary tools for work (email address, telephone extension number, stationary, business name card, etc).
• Send the email with the T&C P&P link to all new hires and keep record for it.
• Coordinate agency to apply the invitation letter for employee who have business trip to China
• Manage and keep an up to date leave record for staff in the corporate office.
• Keep monthly attendance record of all trainee and drivers in Corporate Office and record of Pingan Insurance
• Ensure all local employees’ personal files are up to date, both hard copy files. Both for existing staff and exit staff.
• Provide T&C service to corporate office staff and issue the staff rate certificate and related employee certificate
• Assist the Vice President Talent & Culture in arrangement of trip, meeting, appointment, monthly reimbursement of business expense, PO/PV of department expense.
• Assist the employee to apply Shanghai residence permit and renewal
• Prepare Bi -Monthly GM Orientation & T&C Orientation and Birthday Party
• Assist some activities for the WAAG Program and develop members
• Be in charge of the Monthly T&C News Project
• Updated the T&C System for monthly payroll
• Annual Irregular working time application & Hong Kong Business Pass Updated
• T&C Conference Arrangement
• Annual T&C Hotel Program & Activity(Women's day activity, Solidarity Market, Excellent Awards Candidate Collections)
• Carte Bienvenue Card Order&Payment
• Hotel Data Collection and Analysis(Salary and Benefits Data, Turn-over rate Collections, T&C Indicators, Talent Data Collection, Talent Journey Posters, etc)
• And any other ac-hoc project required by Compensation & Benefits Administrator and Vice President Talent & Culture
Knowledge and Experience
• Proficient in MS Office Applications
• Bachelor Degree in Human Resources, Business Administration or other relevant major.
• Minimum of 1 year of relevant experience
• Good communications skills.

• Must be detail in handling records as well as possess a good administrative skills
• Sensitive & discretion in dealing with confidential matter / information
• Must be a good team play with the ability to learn fast
• Possess excellent interpersonal skills
• Both telephone and face to face communication skills
